This article provides a step-by-step guide to scheduling events for a round in CampusDirector.
Prior to Scheduling:
Make sure the round is configured
Make sure the event dates and times are inputted into the round
Make sure invitation numbers are entered (if a priority or invitational round).
Scheduling an Open House Round
Set Chapter Travel Order
Set Travel Groups
Save the changes before scheduling
Click schedule events
Double-check the preview that populates
If it is good, click "save" -scroll to the bottom of the preview
Scheduling a Priority/Invitational Round
Ensure all chapters have submitted their invitational list
Round > Tools > Clear Chapter Submit Flags. All should have a timestamp.
Ensure all PNMs have submitted their priorities
Round > View Reports > Lost PNMs
If a PNM is lost, they have not submitted their priorities
Make sure to enter cancelled and excused PNM events.
Round > Tools > Cancel or Excuse Event for PNM
Make sure you “Save” your changes
Adjust Chapter Flex Lists - the RFM Specialists will handle this
Click on Schedule Events to set up and run the schedule. Note that the first screen that appears after clicking “schedule” will be the preview screen. To save the events, you will need to click “save” at the bottom of the screen.
Edit schedules for PNMs - here you can schedule individual PNM schedules
Round > Tools > Edit Schedules > Select PNMs
Finalize Round - This will release the schedule to the PNMs and Chapters. Do not finalize the round if you do not want PNMs and chapters to see the schedule yet. If you only want chapters to see the schedule, turn off PNM logins. To do this, go to Setup > Site Setup > Configuration > scroll to the “Site Account Options” box (second to last).
